Sales & Operations Coordinator Germany 60-80% (f/m/d)

NEVIS has been protecting the portals of banks, insurances and authorities for over 20 years, and is deployed by companies around the world today. The NEVIS Security Suite is Switzerland's market leader for identity and access management and protects over 80% of all e-banking transactions.
 

This is your role

You will undertake administrative tasks, ensuring the rest of the staff has adequate support to work efficiently. The tasks of the Operations Coordinator will include bookkeeping and support HR administration and sales management services. The ideal candidate will be competent in prioritizing and working with little supervision. You are self-motivated and trustworthy. The Operations Coordinator ensures smooth running of our company’s offices and contributes in driving sustainable growth.

Main duties may include operations support and coordination of the office administration. Additionally, you are often responsible for specific projects, event planning and tasks. Based in our Munich office, you will report directly to the Country Manager Germany.

The successful candidate is self-motivated, proactive, quick-thinking, flexible, and able to juggle multiple and diverse responsibilities with unwavering attention to detail at all times. Interest and curiosity in a cross-functional organization is a must. Our currently small team is growing quickly, so we need someone who can not only be great in their day to day work but can identify opportunities to make the overall team more organized and efficient. Someone who is curious, demonstrates significant initiative, and inherently exercises good judgement will be most successful both in the role and at NEVIS Security.

Administration & Finance (20 - 40%)

  • Coordinate office activities and operations to secure efficiency and compliance to company policies
  • Support invoicing, budgeting and bookkeeping procedures
  • Manage phone calls and correspondence (e-mail, letters, etc.) in German and English
  • Submit timely reports and prepare presentations/proposals as assigned
  • Office Management
  • Deliver    HR    administration    including    coordinating    recruitment, contracts    and    agreements,    and    maintain    up-to-date    employee    guidelines,    induction    procedures    and    other    HR documents    in    line    with    legislative    and    best    practice requirements.
  • Execute On- / Off-Boarding procedure
  • Assist HR Global on various projects 

Sales & Marketing (40%)

  • Customer service of inbound sales
  • Preparation and tracking of offers and open orders 
  • Development and expansion of existing accounts
  • Market analysis of customer segments and regions
  • Support of regional sales insight reports
  • Coordinating marketing and sales events in Germany
  • Develop, plan, organize, coordinate webinars, workshops and social events 
  • Coordinate sales presentations and sales promotion materials

 

This is you

  • German native, English fluent, written and orally - any other language is a plus
  • Preferred candidates with 3-5 years business administrations experience 
  • Proven experience as an office administrator, office assistant or relevant role
  • Demonstrated ability to work well in a highly interactive environment
  • Interacts effectively with others and is passionate about his/her works
  • Demonstrates a professional phone manner and conduct
  • Maintains focus on daily schedule and objectives and effectively set priorities
  • Strong negotiation, communication and excellent organization skills
  • Familiarity with office management procedures and basic accounting principles
  • High school diploma; BSc/BA in office administration or relevant field is preferred
  • Appropriate handling of confidential information
  • Ability to work within a multinational environment
  • Proactive; hands on mentality; motivated; team player
  • EU citizenship
