Intro

We are looking for a dynamic part-time Office Manager to support the team and organise and coordinate all office processes in a fast-growing international marketing business in Berlin. The role will be part-time (50%) in the beginning with the potential to grow to a full-time position with the overall growth of the company and a normal "post-pandemic" working environment.

As part of the People team at Adsquare you will report directly to the Head of People and should be able to ensure the smooth running of the office and help to improve company culture and day-to-day operations.

Your Mission

Your role is to create and maintain a best-in-class work environment and ensure employees have the tools they need to be successful in the workplace. Your responsibilities include:

  • Maintain inventory and supply levels (food, drinks, office supplies and equipment)

  • Manage and allocate budgets for office expenditure (regular deliveries, supporting events, meetings etc.)

  • Maintain office efficiency by improving office processes & systems

  • Prepare for and welcome our guests such as visitors or candidates

  • Manage the growth of the office itself throughout 2022 and beyond (layout of additional floors, renovation works, furnishings)

  • Manage general office correspondence, requests, queries - in person and on the phone

  • Support the People team with employee on- and off-boarding 

  • Manage global software licenses and electronic signature tools

Your Profile

  • 1-2 years of experience in Office Management in an international (preferable startup) environment

  • Willing to start part-time (50%) in early 2022 with the perspective to grow into a full-time position over time

  • Attention to detail and excellent organisational skills combined with the ability to prioritise and react flexibly to changes

  • Motivation to work in a result-driven startup environment with a lot of responsibility as well as a high level of ownership

  • Strong sense of loyalty, ethics, confidentiality, and responsibility

  • Ability to constantly question existing workflows and processes by suggesting and executing improvements

  • Proficiency in MS Excel/Word as well as Google Sheets and Docs

  • Excellent communication skills & outgoing personality

  • Proficiency in English as well as good level of German (we are an international team, but you also have to deal with German service providers and authorities)
