Executive Assistant

sennder is a European digital freight forwarder looking for an Executive Assistant to work side by side with our Chief Operating Officer and his leadership team.

As the Executive Assistant to the COO you will be working side by side with our Chief Operating Officer and his leadership team. Your primary challenge will be to ensure the COO’s organization (Sales, Product, Marketing, and Operations) and activities are managed efficiently. You will be required to exercise exceptionally sound judgment, outstanding time management skills, and the ability to build effective and trust-based working relationships across the company. A high level of integrity and discretion in handling confidential information, and professionalism in dealing with senior leaders inside and outside the company are critical. Organizational awareness, accurate prioritization skills, and superior attention to detail are imperative. This role will be ever-evolving and give you plenty of opportunities to grow professionally.

IN THIS ROLE YOU WILL ...

  • Coordinate C-Level exchanges and manage business-wide communications by establishing exceptional working relationships throughout the organization
  • Assist the COO with daily operations and execute a variety of administrative responsibilities including managing an active calendar of appointments, completing expense reports, composing and preparing correspondence, and ensuring arrangements for meetings and events
  • Manage follow-ups, drive outcomes, and ensure accountability across the organization
  • Drive the success of key team activities such as developing staff meeting agendas, coordinating business review meetings, and supporting cyclical events such as annual planning sessions and team performance reviews

PREFERABLY YOU HAVE ...

  • At least 2 years of previous experience as Executive Assistant or Office Manager
  • Degree in Business Administration, Business Management, Economics or similar education background
  • Ability to establish immediate credibility with peers, senior leadership, and external partners
  • Strong organizational skills, ability to prioritize and multitask
  • Adaptive, outgoing, and positive professional who loves working in an ever-changing environment
  • Outstanding analytical skills, structured way of thinking and an exceptional attention to details
  • Strong MS Office skills (Excel, Word, PowerPoint) and Google suite products (G-Sheets, G-Docs, G-Slides)
  • Strong ability to make documents look professional, proof-reading, graphics, formatting and layouts
  • Excellent project management skills
  • Professional/Native English communication skills
